HIT AI Solutions LLC ("HIT," "we," "us," or "our") provides marketing services to local brick-and-mortar businesses. This Privacy Policy explains what information we collect, how we use it, and the choices available to you.
This policy applies to hitaisolutions.com, to the services we provide to our business clients and their staff, and to information we collect from or about the customers of those businesses in the course of providing those services.
1. Who We Serve
HIT provides done-for-you marketing services to brick-and-mortar businesses. Our direct customers are those businesses. In providing our services we also communicate with employees designated by those businesses, and we collect and process information about the customers of those businesses.
When we handle information about a business's customers, we do so on that business's behalf and at its direction. The business decides what marketing is sent and to whom. HIT operates the tools that collect the information and deliver the messages.
2. Information We Collect
- Information from our business clients. Business name, address, contact details, the names and business contact information of designated staff, information about products and inventory, marketing account access, and business records provided to us for the purpose of measuring marketing performance.
- Information from client websites and public profiles. With the client's authorization, we collect publicly available information from the client's own website and public business profiles, including descriptions of services and products, team and staff biographies, founder and company history, published articles, credentials, and inventory listings. We use this to build and maintain the client's brand profile and to generate marketing content. We re-check these sources periodically so that the content we produce stays current. Where this material includes information about named individuals, such as staff biographies, it is information the client has already chosen to publish.
- Information from client staff. Mobile phone numbers, names, and the content of messages exchanged with us, including photographs and other files submitted through our workflows.
- Information from the customers of our clients. We collect information directly from individuals who interact with the advertising, messaging, forms, and booking tools we operate on a client's behalf. This may include name, phone number, email address, postal or geographic location, the content of messages exchanged, information about what the person is interested in, and any preferences or consent choices they provide. Where an individual chooses to receive marketing messages, we record that choice, the time it was made, and the wording shown at the time.
- Information about purchases. Our clients provide us with records of completed sales, which may include customer name, phone number, email address, transaction date, and amount. We use this to determine which advertising led to which sale and to report results to the client.
- Customer records maintained for our clients. We combine the information described above into a record of the client's customers and inquiries, which may include contact details, the history of messages and appointments, what the person expressed interest in, purchases made, and marketing preferences and consent choices. These records belong to the client. We maintain them so the client can respond to and follow up with its own customers, and so we can measure and report marketing performance to that client. We do not use one client's customer records for another client, and we do not build or maintain a combined customer database across clients for our own use.
- Information from website visitors. Information you provide when you contact us, and standard technical information collected automatically by our website host, such as IP address, browser type, and pages visited.
3. How We Use Information
We use information to:
- Provide, operate, and improve our services
- Communicate with our clients and their designated staff about work in progress
- Create, schedule, and publish marketing content on behalf of clients
- Respond to inquiries from a client's customers on that client's behalf
- Send marketing messages by text or email on a client's behalf, where the recipient has agreed to receive them
- Measure the performance of marketing campaigns, including matching purchases back to the advertising that produced them, and report results to the client
- Meet legal, tax, and regulatory obligations
We do not sell personal information. We do not provide personal information to third parties so that those third parties can market their own products or services to you.
We do not use one client's customer information to market for a different client. Information collected on behalf of a client is used only for that client.
When a client directs us to run advertising campaigns, we transmit campaign and conversion information to advertising platforms on that client's behalf, as described in Section 7. Identifiers such as phone numbers and email addresses are cryptographically hashed before transmission and are used to measure the performance of that client's advertising.
4. Automated Processing
Some of our services use automated systems, including artificial intelligence, to draft marketing content, to answer initial inquiries, and to sort and prioritize inquiries so that staff at the business can follow up. An automated system may assess what you appear to be interested in and route your inquiry accordingly.
These systems do not decide whether you can buy something, what price you are offered, or whether you qualify for financing. Those decisions are made by the business, by a person. If an automated system has handled your inquiry and you would like a person to review it, contact us using the details in Section 11 or ask the business directly.
5. Text Messaging (SMS and MMS)
Message and data rates may apply to any message described below. HIT does not charge recipients for messages. You may opt out at any time by replying STOP to any message from us. We will send one confirmation message and then stop sending messages to that number. Reply HELP for assistance, or contact us using the details in Section 11.
Messages to staff of our client businesses
How numbers are collected. A person signs up by entering their phone number on HIT's public onboarding form at hitaisolutions.com/request-details and checking an optional consent box that is unchecked by default and not required to submit the form. No one can opt in on another person's behalf, and we do not text a number unless the person who entered it checked the box. Texting is optional and is not a condition of employment or of the client's HIT service. Staff who do not opt in receive the same requests through their store manager or by email. We do not purchase, rent, or otherwise acquire phone numbers from third parties.
What we send. Operational messages relating to the client's marketing work, such as requests for product photographs, reminders, and confirmations that materials have been received.
Frequency. Message frequency varies with the client's marketing schedule and is typically a small number of messages per week.
Messages to customers of our client businesses
How numbers are collected. We send marketing text messages to a client's customers only where that customer has given prior express written consent to receive them. Consent is collected at the point the phone number is provided — on a form, at a point of sale, or through a messaging conversation — using language that identifies the business sending the messages, states that the messages are marketing messages, states that consent is not a condition of purchase, and states that message and data rates may apply. We keep a record of when and how each consent was given. We do not purchase, rent, or otherwise acquire phone numbers from third parties, and we do not send marketing messages to a number solely because it appears in a purchase record.
What we send. Marketing messages from the business the customer bought from or inquired with, such as promotions, new inventory, service reminders, and appointment or availability information.
Frequency. Frequency varies by business and is disclosed at the time consent is collected.
No sharing of mobile information
We do not sell, rent, or share mobile phone numbers or SMS consent information with third parties or affiliates for their own marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third party. Phone numbers and message content are shared only with the service providers that deliver messages on our behalf, and only for that purpose.
Separately from text messaging, and only where a client directs it, a customer's phone number may be cryptographically hashed and transmitted to an advertising platform to measure the performance of that client's advertising, as described in Section 7. That transmission is not based on and does not rely on text messaging consent, and it is not used to send marketing on behalf of the platform or any other party.
6. Email
We send email to our clients and their designated staff in connection with our services.
Where a client directs it, we also send marketing email to that client's customers. We send marketing email only to individuals who have provided their address for that purpose or who have otherwise agreed to receive it. Every marketing email identifies the business it is sent on behalf of, includes a valid postal address, and includes a working unsubscribe link. We honor unsubscribe requests promptly. Unsubscribing from marketing email does not stop transactional or service-related email, such as an appointment confirmation you requested.
7. How We Share Information
We share information only as follows:
- Service providers. We use third-party providers for messaging delivery, cloud hosting, content generation, accounting, and document signing. These providers may process information on our behalf and are permitted to use it only to provide services to us. We also use product analytics tools, such as Amplitude, within the authenticated HIT dashboard to understand how our own users use the platform; these analytics events never include a user's email address.
- Artificial intelligence providers. We use third-party AI services to help draft marketing copy and produce images and video for our clients. What we send these services is business information — brand descriptions, product and inventory details, and photographs of merchandise supplied by the client. We do not send our clients' customer contact information, purchase records, or message histories to AI providers for content generation. Where we use AI services under business or enterprise terms, those terms prohibit the provider from using our inputs to train its models.
- The client business. Information collected on a client's behalf is available to that client. A client's customer information is not made available to any other client.
- Advertising and analytics platforms. When a client directs us to run campaigns, we transmit campaign and conversion information to the relevant advertising platforms on the client's behalf. This may include hashed identifiers, such as a phone number or email address converted into an irreversible cryptographic value, which the platform uses to match a purchase to an advertisement. These platforms operate under their own terms and privacy policies, and may use the information they receive for their own purposes, including improving their advertising and measurement systems. We do not control how a platform uses information once it is received. Information is transmitted only at the direction of the client whose customers it concerns.
- Legal requirements. We may disclose information where required by law or to protect our legal rights.
- Business transfers. If HIT is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.
8. Data Retention and Security
We retain information for as long as needed to provide our services and to meet legal and recordkeeping obligations, after which it is deleted or anonymized. Records of marketing consent and opt-out are retained for as long as required to demonstrate compliance, even after the underlying contact information is deleted.
We use reasonable administrative and technical safeguards to protect information, including encryption of sensitive information at rest and access controls limiting who can view it. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Your Choices
You may opt out of marketing text messages at any time by replying STOP, and out of marketing email by using the unsubscribe link in any message. We honor these requests directly and promptly, regardless of which business the messages were sent on behalf of.
Depending on where you live, you may also have the right to request access to the personal information we hold about you, request correction or deletion of it, or object to certain processing. To make a request, contact us using the details in Section 11. We will respond within the time required by applicable law.
If we hold information about you because you are a customer of one of our client businesses, that business decides how the information is used. We will act on your request in coordination with that business, and we will pass your request along to them. Opt-out requests are honored by us immediately without waiting on the business.
10. Children
Our services are directed to adults, and the businesses we serve sell to adults. We do not knowingly collect personal information from anyone under 18. If we learn that we have collected information from a child, we will delete it.
